How to Evaluate Hotel Linen Quality: A Buyer’s Checklist
Published by Galaxy Hotel Supplies | For Hotel Procurement Managers
Linen is one of the most guest-facing investments a hotel makes. A scratchy towel or pilling duvet cover doesn’t just disappoint — it shapes the entire stay. Yet linen procurement is riddled with vague specs, inconsistent supplier claims, and shortcuts that only reveal themselves after the third wash cycle.
This checklist gives procurement managers a practical, technical framework to evaluate hotel linen quality before signing a purchase order — whether you’re outfitting a new property, re-sourcing a key category, or benchmarking your current supplier.
1. Thread Count: A Useful Metric — But Not the Only One
Thread count (TC) measures the number of threads woven into one square inch of fabric. It matters, but it’s frequently misrepresented.
What to look for:
- 200–400 TC: Ideal for most hotel operations — durable, breathable, easy to launder industrially.
- 400–600 TC: Suitable for luxury tiers; softer feel but requires more careful laundering.
- 600+ TC: Often inflated using multi-ply twisted threads. High TC does not automatically mean high quality.
Ask your supplier: Is the thread count single-ply or multi-ply? Single-ply at 300 TC is superior to multi-ply at 600 TC in most hospitality applications.
2. Fiber Content & Construction
The raw material determines durability, softness, and laundering lifespan — arguably more than TC.
| Fiber | Best For | Consideration |
|---|---|---|
| 100% Egyptian or Pima Cotton | Premium bedding, bath towels | Higher cost; superior softness and longevity |
| Cotton-Polyester Blend (60/40 or 80/20) | High-turnover properties | Wrinkle-resistant, faster drying, cost-effective |
| Bamboo-Cotton Blend | Eco-conscious properties | Naturally antimicrobial, silky feel |
| 100% Polyester Microfiber | Budget tiers, table linen | Less breathable; avoid for guest-contact bedding |
Red flag: Suppliers listing “cotton-rich” without specifying percentages. Always request the exact fiber composition on the product specification sheet.
3. Weave Type
Weave structure affects how linen feels, performs, and ages.
- Percale weave: Crisp, cool, matte finish. Excellent for warm climates and guests who sleep hot. Durable for industrial laundering.
- Sateen weave: Silky sheen, heavier drape. Preferred for luxury positioning. More prone to snagging.
- Terry weave (towels): Loop density and loop height determine absorbency. Longer loops = softer; denser loops = more absorbent.
- Waffle weave: Popular for bathrobes and spa towels. Quick-drying with a distinctive texture.
Tip: Request physical swatches, not just photos. Feel the weight, examine the weave structure under light, and test how the fabric responds to a quick fold and unfold.
4. GSM (Grams per Square Metre) — The Weight Test
GSM is the most reliable indicator of fabric density and durability, especially for towels and bathrobes.
| Category | Recommended GSM Range |
|---|---|
| Pool/Gym Towels | 300–400 GSM |
| Standard Bath Towels | 400–550 GSM |
| Luxury Bath Towels | 550–700 GSM |
| Bathrobes | 350–500 GSM |
| Bed Sheets | 100–200 GSM |
| Duvet Covers | 200–300 GSM |
How to verify: Ask for the GSM on the product data sheet. For critical orders, request a third-party lab test (AATCC or ISO standards).
5. Colorfastness & Whiteness Retention
For white linen — the hospitality standard — whiteness retention after repeated industrial laundering is critical.
Evaluation criteria:
- Optical brightening agents (OBAs): Many suppliers use OBAs to make linen appear white. These wash out over time, causing yellowing. Ask whether OBAs are used and at what concentration.
- Laundering test: Request sample pieces and run them through your property’s laundry cycle 20–30 times. Assess shrinkage, pilling, and whiteness after each cycle.
- Shrinkage tolerance: Industry standard is ≤3% shrinkage after washing. Confirm this in writing.
6. Stitching & Finishing Quality
Premium fabric can be undermined by poor finishing. Inspect these details on every sample:
- Hem stitching: Should be tight, even, and reinforced at corners. Count stitches per inch — 8–12 is standard; fewer means it will unravel under industrial washing.
- Mitered corners (for table linen and pillowcases): Neat, sharp, and flat — not bunched or bulging.
- Labels: Wash care labels should be sewn flat without irritating backing. For guest room linen, some properties prefer label-free (cut-label) finishing.
- Edge finishing on towels: Cam borders and dobby borders should lie flat with no loose threads.
7. Laundering Durability — The Real Test of Value
A lower unit price means nothing if linen degrades after 50 wash cycles. Budget for cost-per-use, not cost-per-piece.
Questions to ask your supplier:
- What is the expected lifespan (in wash cycles) of this product under industrial laundering conditions?
- Has it been tested to AATCC, ISO, or OEKO-TEX® standards?
- Can you provide a laundering protocol recommendation?
Industry benchmark: Quality hotel linen should maintain acceptable performance for 150–300 wash cycles depending on the category.
8. Certifications to Request
Certifications signal a supplier’s commitment to quality and compliance. Look for:
- OEKO-TEX® Standard 100: Confirms no harmful substances; important for guest-contact products.
- ISO 9001: Quality management system certification.
- GOTS (Global Organic Textile Standard): For properties sourcing organic cotton.
- Bluesign®: Confirms responsible resource use in manufacturing.
Note: Request original certificates with issue dates and validity periods — not just a logo on a product page.
9. Supplier Evaluation Checklist
Beyond the product itself, assess the supplier’s operational reliability:
- [ ] Can they provide consistent quality across large batch orders?
- [ ] Do they offer OEM/custom branding (embroidery, woven logos)?
- [ ] What is their minimum order quantity (MOQ) for re-orders?
- [ ] What are their lead times, and can they meet your seasonal procurement cycles?
- [ ] Do they have documented quality control processes at the factory level?
- [ ] Can they provide references from comparable hotel clients?
10. Final Pre-Order Steps
Before committing to a full order:
- Request a sample pack — not just one item, but a full set (sheet, pillowcase, towel, duvet cover).
- Run your own wash test — at least 10 cycles under your property’s conditions.
- Involve your housekeeping team — they handle linen daily and will spot practical issues buyers might miss.
- Negotiate a pilot order — 10–20% of your full requirement before full commitment.
- Confirm lead times in writing — especially if sourcing internationally.
Summary
Evaluating hotel linen quality isn’t about chasing the highest thread count or the lowest price. It’s about understanding the full picture: fiber, weave, weight, construction, finishing, durability, and supplier reliability — all measured against the specific demands of your property and your guests.
Used consistently, this checklist will help you source linen that holds up to industrial laundering, elevates the guest experience, and delivers strong value over its full lifespan.
